The State of Kansas now requires the use of KS Authenticare, an automated phone entry system for time keeping, for all waiver participants. All Direct Support Workers (Helpers) are paid based on their time entry in this system.
Helpers dial into an interactive voice response system (IVR) from the client’s home when they begin working to clock in, and will call again at the end of their shift to clock out. Each Helper will be assigned an employee ID number which will be used for all time entry.
The KS Authenticare system will make a match on the phone number the call came from and the employee ID number entered, and then will prompt the Helper to identify the individual they are there to serve as well as the service provided.
The KS Authenticare system will record time worked by rounding to the nearest quarter hour. For example: If the Helper calls to clock in at 8:07, the time will be rounded down to 8:00. If the Helper calls to clock in at 8:08, the time will be rounded up to 8:15. It is imperative that Helpers call to clock in as close to their scheduled shift as possible to ensure that extra hours are not recorded, and that the client does not exceed the number of hours on their Plan of Care.
Helpers, Inc. cannot pay for hours that are worked beyond what is covered by the client’s Plan of Care.
